Link or embed a PowerPoint slide in a Word document

When you want to create a dynamic link between the content of your document and the content in a PowerPoint presentation, insert the content as an object . Unlike when you paste content (such as by pressing Ctrl+V), when you insert it as a linked or embedded object, you can still work with the content in the original program where it was created.

If you insert the slide into the document as a PowerPoint object, Word runs PowerPoint when you double-click the slide, and you can use PowerPoint commands to work with the slide.

When you insert an entire PowerPoint presentation as an object, the document displays only one slide. To display different slides, double-click the PowerPoint object, and then press Enter to run the slide show.

Insert a linked object or embedded object

You can link or embed one or more slides, or you can embed an entire presentation. When you embed a PowerPoint presentation object in your document, Word runs the PowerPoint slide show when you double-click the presentation object in the document. You cannot edit the presentation within the document. The presentation object can be embedded only, not linked.

Open both the Word document and the PowerPoint presentation that contains the slides that you want to create a linked object or embedded object from.

Switch to PowerPoint, and then select the entire presentation or the slides that you want.

Note:  To select slides, in Slide Sorter view, click the slide that you want. To select a range of slides, hold down Shift while you click the first and the last slides of the range. To select multiple slides that are not next to each other, hold down Ctrl while you click the slides that you want.

Press Ctrl+C.

Switch to the Word document, and then click where you want the information to appear.

On the Home tab, in the Clipboard group, click the arrow under Paste , and then click Paste Special .

In the As list, select Microsoft PowerPoint Presentation object or Microsoft PowerPoint Slide object .

Select Paste to insert an embedded object, or select Paste link to insert a link to the object, and then click OK .

Alternatively, you can insert a link to the object as follows.

On the Insert tab, in the Text group, click the arrow next to Object , and then select Object .

Click the Create from File tab, and browse to the location of your presentation.

Select Link to file or Display as icon , and then click OK .

Update linked objects

By default, linked objects are updated automatically. This means that Word updates the linked information every time you open the Word file or any time the source PowerPoint file changes while the Word file is open. However, you can change the settings for individual linked objects so that the linked object is not updated or so that it is updated only when the reader of your document chooses to manually update it.

You can also prevent Word from automatically updating links in all the documents that you open. You can do this as a security measure, to prevent updating documents with files that are potentially from an untrusted source.

Important:  When you open a document that contains linked objects, Word prompts you to update the document with data from the linked files. If you suspect that the linked files may be from an untrusted source, click No in this message.

In addition, you can permanently break the connection between a linked object and its source PowerPoint file. When the connection is broken, you can no longer edit the object in the document; it becomes a picture of the PowerPoint content.

Manually update a linked object

Right-click the linked object, click Linked Slide Object or Linked Presentation Object , and then click Links .

Click the link that you want to update manually, and then under Update method for selected link , click Manual update .

Prevent a linked object from being updated

Click the link that you want to prevent from being updated, and then under Update method for selected link , select the Locked check box.

Note:  To unlock the link, clear the Locked check box.

Prevent Word from automatically updating links in all documents

On the File tab, click Options ..

Click Advanced , and then scroll down to General .

Clear the Update automatic links at open check box.

Break the connection between a linked object and its source

Click the link that you want to disconnect, and then click Break Link .

Change linked or embedded objects

Right-click the linked object, and then click Linked Slide Object or Linked Presentation Object .

Click Open or Open Link , depending on whether the object is embedded or linked, and then make the changes that you want.

If the object is embedded, the changes are only in the copy that is in the document. If the object is linked, the changes are made to the source file.

In the As list, select Microsoft Office PowerPoint object .

Click Paste to insert an embedded object, or click Paste link to insert a link to the object.

Click the link that you want to update manually, and then under Update method for selected link , click Manual update . Or press CTRL+SHIFT+F7.

Click the link that you want to prevent from being updated, and then under Update method for selected link , select the Locked check box. Or press F11.

Note:  To unlock the link, click the linked object, and then press Ctrl+Shift+F11.

Click the link that you want to disconnect, and then click Break Link . Or press CTRL+SHIFT+F9.

Right-click the object, and then click Linked Presentation Object or Slide Object .

The differences between linked objects and embedded objects

The main differences between linked objects and embedded objects are where the data is stored and how you update the data after you place it in the destination file.

You place either a link to the object or a copy of the object in the document. You can insert content this way from any program that supports the technology of linking and embedding objects (object linking and embedding, or OLE).

For example, a monthly status report may contain information that is separately maintained in a PowerPoint slide. If you link the report to the slide, the data in the report can be updated whenever the source file is updated. If you embed the slide in the report, your report contains a static copy of the data.

When an object is linked, information can be updated if the source file is modified. Linked data is stored in the source file. The Word file, or destination file, stores only the location of the source file, and it displays a representation of the linked data. Use linked objects if file size is a consideration.

Linking is also useful when you want to include information that is maintained independently, such as data collected by a different department, and when you need to keep that information up-to-date in a Word document.

When you embed a PowerPoint object, information in the Word file doesn't change if you modify the source PowerPoint file. Embedded objects become part of the Word file and, after they are inserted, they are no longer part of the source file.

Because the information is totally contained in one Word document, embedding is useful when you don't want the information to reflect changes in the source file, or when you don't want the document recipients to be concerned with updating the linked information.

Edit or print PowerPoint handouts in Word

You can print handouts from PowerPoint, but if you want to use the editing and formatting features of Word, you can work on and print your handouts using Word.

In the open presentation, do the following:

Click File > Export .

Under Export , click Create Handouts , and under Create Handouts in Microsoft Word , click Create Handouts .

In the Send to Microsoft Word box, click the page layout that you want, and then do one of the following:

To paste content that you want to remain unchanged when the content in the original PowerPoint presentation is updated, click Paste , and then click OK .

To make sure that any updates to the original PowerPoint presentation are reflected in the Word document, click Paste link , and then click OK .

The presentation opens as a Word document in a new window. You can edit, print or save as with any Word document.

Working around problems with exporting

The process of exporting a presentation to Word uses a lot of memory. The longer and larger the file, the more challenging it is for the programs and your computer to complete the process. If you get an error message that says, "PowerPoint couldn't write to Microsoft Word," try the process again after first restarting your computer and opening only PowerPoint. Restarting your computer will free up memory for the export process, and having other programs closed during the process will do the same.

If you have a very large file that still is not entirely exported, you can do a Save As operation on the presentation to make a second copy of it. From that copy, remove the slides that have already been exported, then run another export of the remaining slides that need to be exported. When that second export process is finished, combine the two .docx files into one.

Microsoft 365  is the most recent version of the Microsoft Office set of tools, and it includes programs you already use at home, school or work. Some of the programs include Word, Outlook and Powerpoint, and buying a Microsoft 365 membership is still the most popular way to access these tools and more. 

On Jan. 11, Microsoft announced the release of  Microsoft 365 Basic which costs $2 a month, or $20 for a yearly subscription. However, you can snag  Microsoft 365  at no cost under some circumstances.

Microsoft's suite of productivity software consists of classics like Word, Excel, PowerPoint and Outlook, as well as newer apps like Microsoft Teams, OneDrive and SharePoint. 

The suite typically costs $20 to $100 a year for subscription access across devices and family members. Microsoft also has a standalone version of Microsoft Office for Windows and Mac , called Office Home and Student 2021 , for a flat $150 -- no subscription required.

Here are the versions of Office 365, Microsoft 365 and their apps that you can find online for free. 

Get Microsoft Office 365 Education free if you're a student or a teacher

If you're a student, teacher or faculty member with an active school email address, you're likely eligible to get access to Office 365 for free through Microsoft, with Word, Excel, PowerPoint, OneNote and Teams, plus other classroom tools.

All you have to do is enter your school email address on this page on Microsoft's website: Office 365 Education . In many cases, you'll be instantly granted access thanks to an automated verification process. If you attend an institution that needs to be verified, it might take up to a month to confirm your eligibility. 

College students can also get Microsoft 365 Personal for $3 a month with a valid school email address.

How to get Microsoft Office suite free if you're anyone else

Anyone can get a one-month free trial of Microsoft 365. However, it does require you to enter a credit card number. If you don't cancel your subscription before the month is up, you'll be charged $100 for a one-year subscription to Microsoft 365 Family (formerly called Office 365 Home). 

The good news is if you don't need the full suite of Microsoft 365 tools, you can access a number of its apps online for free, including Word, Excel, PowerPoint, OneDrive, Outlook, Calendar, My Content, Skype, Designer and Clipchamp. Here's how to get them: 

1 . Go to Microsoft365.com .

2 . Click Sign up for the free version of Office under the "Sign in" button.

3 . Log in to your Microsoft account or create one for free . If you already have a Windows, Skype or Xbox Live login, you have an active Microsoft account.

4 . Select the app you want to use and save your work in the cloud with OneDrive.

So what's the catch for the free version?

You might be saying, "Wait a minute, if I can get all of those apps for free, why pay for Microsoft 365 in the first place?" The functionality of the free apps is limited, so they only run in your web browser and you can only use them while you're actively connected to the internet. They also have fewer features than the full Microsoft 365 versions. 

There are still benefits to the free version, including the ability to share links to your work and collaborate in real time, similar to what the Google Workspace (formerly G Suite) productivity tools allow. If you're looking for basic versions of each of these apps, the free version should work well for you.

How to create a word cloud in microsoft powerpoint.

Though there's no built-in tool for creating a word cloud in PowerPoint, it can still be done with an add-in. Here's how.

Adding a word cloud to your slideshow helps communicate what's really important about the presentation by making certain keywords stand out. There's no built-in tool in Microsoft PowerPoint for creating a word cloud, but it can still be done. Here's how.

Though there are several third-party applications available that claim to generate a word cloud in Microsoft PowerPoint, we'll be using the free Pro Word Cloud add-in in this tutorial. But there are some precautions you must take.

Freeware isn't known for its privacy or security. Pro Word Cloud's add-in capabilities include reading your document and sending data over the internet. If you're concerned about the confidentiality of your data, this may not be the best option for you. There are risks involved when using freeware as a quick and easy means to an end.

Almost all freeware comes bundled with bloatware and, while most bloatware isn't malicious, that's not always the case. But even if the bloatware isn't malicious in itself, it does consume disk space which in turn can slow down your computer---a price most aren't willing to pay for free software.

While we didn't encounter any issues when using this free add-in, that doesn't mean you won't. However, if you're still sure you want to give this PowerPoint add-in a go, head over to the Pro Word Cloud download page and click "Get it Now."

A pop-up window will appear containing links to the terms of use and privacy policy. If you agree, click "Continue."

You'll then be redirected to the Microsoft 365 store. Click "Open in PowerPoint."

Another message will appear, this time requesting permission to open PowerPoint. Click "Open PowerPoint."

PowerPoint will launch and the add-in will be installed. You can now close PowerPoint and access the add-in at any time.

Open the PowerPoint file that contains the text you would like to create a word cloud with and then click the "Insert" tab.

Next, in the "Add-ins" group, click "My Add-ins."

The "Office Add-ins" window will appear. Double-click the "Pro Word Cloud" add-in.

Once selected, the Pro Word Cloud pane will appear on the right-hand side of the PowerPoint window. Here, you can adjust certain settings such as your text font, color scheme, layout style, and case. You can also choose how many words will appear in the word cloud, as well as the size (in pixels) of the word cloud image.

Lastly, common words (such as "and" or "if") are excluded from the word cloud by default. Uncheck the box next to "Remove Common Words?" if you'd like to keep them.

Once you've adjusted the settings to your liking, select the text in the PowerPoint slide by clicking and dragging your cursor over the text.

Back in the Pro Word Cloud pane, click the "Create Word Cloud" button.

Pro Word Cloud will now generate your word cloud. As you can see from the tip that's displayed, the word cloud image is copied to your clipboard.

You can now click and drag the image from the side pane over to your slide, or paste it from your clipboard by right-clicking on the slide and selecting the paste option.
