When you write your job application letter, it’s essential to pay close attention to formatting . There’s a right way to format a cover letter; deviate from the standard guidelines and hiring managers may drop you from consideration.

In fact, anything that makes your job application letter appear less than professional can prevent hiring managers from taking you seriously as a candidate. Make sure your cover letter is formatted properly and is free from errors before you send. 

Tips for Writing a Job Application Letter

Do not copy your resume. A cover letter is a sales pitch. The purpose of this letter is to convince the hiring manager that you’re a strong candidate and to highlight your relevant experience and abilities. Your application letter should show how exactly your background makes you a good fit for a particular position. In contrast, your resume is a general record of your experience, education, and accomplishments.

Tailor each application letter to the job. As mentioned above, emphasize in your letter why you are an ideal candidate for the specific job. This requires that you personalize each letter to fit the company and position. Match your qualifications to the job posting by highlighting the skills, experience, and requirements listed in the description.

Be professional. Application letters have a fairly rigid format—as hiring managers read your letter, they will expect to see certain information included in set areas. You have freedom within the structure to be personable, but it is important to stick to a certain level of formality. Pay particular attention to the professionalism of your salutation . You wouldn't, for instance, want to refer to the letter's recipient by their first name unless specifically requested.

Carefully proofread. Employers are likely to overlook an application with a lot of errors. Therefore, read through your cover letter, and even consider asking a friend or career counselor to read the letter. Proofread for grammar and spelling errors. Be particularly mindful to spell the letter recipient's name correctly, as well as the company name.

Follow business letter format. Use business letter format when writing your letter. If you’re sending a typed hard-copy letter, be sure to lead with a paragraph containing your address, followed by the date, followed by the address of the recipient. If you’re sending an email, you can omit the address and date sections.  

Decide whether to send a hard copy or email. The main difference in formatting an email application letter is that you need to include a subject line that clearly lays out your purpose for writing, e.g. “Graphic Designer—Joe Smith.” And, instead of placing your contact information at the top of the letter, as you would in a hard copy, you'll include it below your signature.

Since your application letter will be accompanied by your resume, make sure the letter does not duplicate your resume exactly.

Include the name of a mutual contact, if you have one. You might conclude by briefly and concisely saying why you think you are an ideal candidate for the job.

Middle Paragraph(s) The next section of your application letter should describe what you have to offer the employer.

It can be a single paragraph, or you can break it up into a couple of paragraphs. If the section gets lengthy, you may use bullet points to break up the text. Remember, you are interpreting your resume, not repeating it.

Mention specifically how  your qualifications match the job  you are applying for. In this portion of the letter, make your case for your candidacy.

It can be helpful to spend some time researching the company —this knowledge and insight helps you make an informed and persuasive argument for your candidacy.

Use specific examples whenever possible. For example, if you say that you have lots of experience working successfully on team projects, provide an example of a time you worked in a group and achieved success.

An application can be written for leave, an extension of a project deadline, a position, etc.

  • Job Application Letter: It is written to request a job opening in an organization. It is sent to the email address of the organization, and the HR department of the company, or it is submitted offline to the organization by visiting them.
  • Academic Application Letter: It is written for academic purposes when a request regarding leaves, scholarships, fees, activities, etc. is to be made. Any formal request to be made within an academic institution by a student is an academic application letter.
  •  Personal Application Letter: An application letter written for personal work such as asking for a loan, travel grant, visa, passport, or any such individualistic request is called a personal application letter.

Steps for Writing an Application

An application letter can be written using the below-mentioned steps. Using this procedure will assist you in writing an application letter in a fast-paced and proficient manner. In just 10 easy steps, you can write a perfect application letter. Have a look at the steps below:

Step 1: Know your objective for writing the application. An application letter should only be written with a set objective in mind.

Step 2: Planning Any form of letter-writing requires planning. A planned letter always includes important topics, is drafted concisely, and ignores irrelevant stuff in an application.

Step 3: Begin with the date. The first thing that goes into an application is the date on which it is written and submitted.

One can write an application letter when one asks for something, requests permission, or applies for something. The letter is usually one page long. It might be noted for personal or professional reasons. Additional documents, such as letters of application, may accompany it. Application letters are so much more than simply cover letters; they can also be inquiries or requests.

The application letter, like any other straightforward letter, begins with planning. Plan the content, choose who will get it, consider the details one should provide, and keep it brief and simple. Assume you are requesting permission from your college professor to retake your microeconomics test. The following is how to write an application-

  • First and foremost, write the date.
  • Include the professor's name, position, department, and the name of the university. 
  • You can choose between an internal and an external professor. If he is an external faculty member, include this along with the name of your university. If not, you should still include it to clarify things. Include his contact information.
  • After that, continue to the subject line, which reads "Application for Exam Retake."
  • In the first sentence, introduce yourself. After that, mention the course name, your name, batch, and program. 
  • Now explain why you're writing: to obtain a retest on your microeconomics exam.
  • The reasons for your exam absence should be explained in the paragraph that follows. Make certain that the justifications are genuine. If you've been sick, provide any medications or appointment records. If you had to travel for personal reasons, including a brief account of the occurrence.
  • In the concluding paragraph, request an exemption and a retake of the exam, explaining how this will benefit you.
  • Complete your information. Remember to include your contact details, such as your phone number and email address, below.

  • Include the professor’s name, position, department, and university name. You have the option of having an internal or external professor. Mention this together with the name of your university if he is an external faculty member. If not, you should still add it to clarify matters. Include his contact details.
  • Add the date after that. Move on to the subject line, where it says “Application for Exam Retake.”

Do you know what is the main purpose of writing an application? Actually, the job application you submit to the company really describes your personality to the manager of the company. So, therefore, we have to be so careful while writing a job application. Firstly, we should observe whether the job is suitable for us or not then we can play our role in getting it better.

In the application or resume, we actually write about our skills and details that at the end reflect our job. The job application should be written in a way that it should prove to the hiring manager that you are able for that job or position. It should be written in a way that should make the manager impressed and make him call you for the interview. It should be written in a way that should highlight your skills that are suitable for the job.

For making these all feasible, I have brought you some great tips on how to write a job application and be hired by the manager of the company you want to work. Let’s have a quick glance at them step by step as follow:

How to Write a Job Application Letter 

When writing an application letter for a job, follow these steps to make sure you include information about yourself and your professional life that will appeal to a hiring manager.

1. Get information about the company and the position

Firstly look after the information about the company which you can find on the website. Like how is it? How is the manager? What questions do they mostly ask? What kind of employee do they hire? And all information should be collected by you then you can move ahead. Then you should compare your qualifications and skills with them. If you have already information about the company and the position, then you can write down your application easily according to their requirements.

2. Stay concise

You need to include all the information that is needed or is necessary. Like your skills, qualifications, and experience but don’t write more. Don’t go in detail. Be simple and concise. If your letter is of multiple pages, then no manager would like to waste their time reading all of them. Therefore, try to include everything but be concise and relevant. As well as, some of the employees write a lengthy description about themselves and don’t get to the point therefore, the manager obviously gets confused. And don’t hire that sort of employee at all.

3. Use a professional format

The job application should be more professional than the thank you card or letter for friends. The alignment of the document should include a single spacing, one-inch margins, and left alignment. It is better to use a professional and different font, like Time New Roman, with a size of 10 to 12 points. Try to write your application professionally. And your starting should be good because the starting point is the first impression of the hiring manager.  Edit your application carefully and don’t miss anything that will help you get the job.

4. Create a heading

Write your application in a formal way. Use a formal business heading for your job application.The heading should include your name and contact number, the date, and the company name and your address. And if you want to send it through your email, then you can remove your name and contact information from the heading. And can put it at the bottom of the letter.

By including all the important information in the heading, you can make the manager get to the point and hire you for the job.

5. Start with mentioning the manager respectfully

Research the name of the hiring manager who interviews the employees, then start your letter by addressing the manager respectfully. Address them in a formal way like, “Dear Mr/Ms.” with their last names. If you have no idea whether the manager is a male or a female, then you can simply say this, “Dear hiring manager” instead of using( Mr/Ms).

6. Describe your interests

In the first paragraph of the letter, mention the website that you have applied from. Then include your interest in the letter. Show your interest in the job you have applied for in order to get the job successfully. And make the hiring manager accept you as their employee with the help of your interests. Suppose you can write like this:

“I saw the posting on Google. From that day up till now, I am trying to improve in order to be apart of your company and with the help of my skills, I should fasten the development. ” I feel as if my educational experience has prepared me for doing this job perfectly.

7. Experience and qualifications

The next paragraph should highlight your skills and experience. You should describe your skills in a way that should be suitable for the company’s goals. Try to mention experiences that should be relatable with the position or job. Because without any experience, you can not find a good job for yourself. You should talk about your qualifications so that they should put you in a position where it is suitable for you according to your qualifications.

8. Describe your personality

When you are writing a job application, then you must introduce yourself to the reader completely. Like they must get to know about your life and what kind of person you are. Suppose you can write this in your letter:

I am very good at communicating with the people, I am good at addressing people and I am always fresh, friendly and never get furious.

Like this, you can gain the attention of the hiring manager towards yourself quickly.

9. Express your appreciation

Before you conclude the letter, you should thank the hiring manager for taking the time for reading your letter so that the manager should get impressed. You can appreciate the manager for reviewing your letter and hiring you. So expressing gratitude for the manager for reviewing your letter is a formal and polite way which can lead to hiring you for the job. Suppose:

” I am very grateful for the time you have spent reading my letter and considering me as an able person. I will be very glad to hear from you the good news soon.”

This is the way you can show gratitude for the manager.

10. Close the letter

You can use any formal word for closing your letter like,” sincerely, yours truly or best.” All of them are fine and formal words for closing the letter. You can write down your full name in the final line. But if you want to add your signature then you can write it above your typed name.

As I’ve been self-employed for over four years now, the last time I applied for any full-time role was years before ChatGPT came to the market.

Still, I wondered if AI is capable of creating an email that would be compelling and personal and, therefore, has the potential to intrigue a hiring company. Also, how much information would I have to include in my prompt to get a satisfactory outcome? I tested three different prompts to see — here’s what I learned.

A job application email is a formal email sent to a recruiter or a hiring manager by someone who’s seeking employment. It aims to express interest in a specific position and to share relevant information on the applicant’s skills and experience.

1. Add a relevant subject line.

On top of applications from candidates, the hiring manager receives tens of other emails every single day.

And while you have no control over how much communication they receive, you can do a lot to boost your job application email visibility.

“Make your intentions clear in the subject line,” says Robert Kaskel, chief people officer at Checkr . “Mention it’s an application, the role in question, and your name. Also, remember that most email providers only display 20-30 characters of subject line text in the recipient’s inbox.”

Kaskel also underlines that you should steer clear of any “clickbait-y” text.

“Nor should you try to create a sense of urgency by using words like ‘Urgent,’ ‘Immediate,’ or ‘Time-sensitive.’ These tactics might work for marketers, but they’re more likely to alienate and irritate a recruiter who may view them as deceptive,” he said.

2. Adjust your tone of voice to the company.

As a marketer, you know that brands use a different tone of voice. Some are more relaxed than others. If you want to stand out from other applicants, try to use a tone of voice that matches the company you’re applying to.

Take a look at the job ad. Is it written in a friendly, humorous manner, or is it super professional? Write your email copy in a way that shows you ‘get’ their communication style.

This is especially important when applying for marketing positions. After all, an ability to adjust to a brand’s tone of voice is something to be expected from marketing pros. Right?

3. Keep it short and relevant.

Whenever I scroll through LinkedIn, the amount of people who apply for a job never fails to amaze me. There are hundreds of applicants within a few hours after posting a job ad. The job market has gotten incredibly competitive.

That said, recruiters have to go through tons of LinkedIn messages and emails. Their time is limited, so keep your email short and to the point.

Make sure that your opening paragraph is catchy. If you make it blunt and irrelevant, the recruiters won’t bother reading the rest.

Kimberley Tyler-Smith, executive at Resume Worded , says, “As a recruiter who‘s seen thousands of applications cross my desk, I can tell you one thing for sure: the generic, formulaic emails blur into a monotonous hum. But the ones that truly stand out? They’re the ones that tell a story.”

A story sparks curiosity, Tyler-Smith notes.

“A well-crafted story hooks me in, making me want to know more about the person behind the words. It‘s no longer just a resume on a screen. It’s a glimpse into your unique journey, your motivations, and your potential.

It reveals your passion, your humor, your resilience — all the qualities that make you, well, you. And in a world of faceless applications, authenticity is gold,” Tyler-Smith says.

She also says that it shows you’re a great fit for the company.

“A story that connects your experiences to the specific role and company paints a vivid picture of why you're not just qualified, but perfectly suited for the job,” adds Tyler-Smith.

4. Include a personal salutation.

Starting your job application email with “Dear Sir/Madam” or “Dear Hiring Team” isn’t the best way to make a good first impression.

If the recruitment manager isn’t listed in the job ad, find out who is responsible for hiring in this specific company. It might require some digging, but it will be worth the effort.

The majority of candidates won’t bother to find out the person’s name, and if you do, you will stand out.

5. Attach your CV and label it correctly.

Remember to attach your CV to your email; if you forget to do it, high chances are your application will be ignored. Also, make sure it’s correctly labeled.

Daniel Kroytor, the founder of TailoredPay , explains why this is so important. “It is not unusual for a job application email to include attachments, but what many do not consider are their labels, and this is why they should look at them carefully before sending,” he says.

He adds that “it is important to remember that you are not the only person who is inquiring about a job opportunity, which means that potential employers will receive dozens if not hundreds of documents, and if they are mislabeled, they could be disregarded or cause HR headaches.”

Max Wesman, founder and COO at GoodHire , further emphasizes the importance of email attachments. He sees them as the most important element of a job application.

Wesman says that “not only do you need to attach the right documents, but they also need to be neatly designed, well-written, and free of any mistakes.”

Attachments allow you to attach documents and add information outside of the basic application format. Wesman notes, “So make sure to attach any fun, interesting, or qualifying documents that can help your case.”

6. Include a personalized section on why you fit the company.

Avoid statements like “I have years of experience” if you aren’t planning to prove how it ties with the company you’re applying to in the next couple of sentences.

Each sentence should help the hiring manager assess how exactly your presence could contribute to the business.

For example, if you’re applying for a social media manager position, you could share a story of a successful campaign that you came up with the idea for and how many leads or sales it generated.

Gianluca Ferruggia, general manager at DesignRush , has a great take on this, saying that candidates should showcase not only their professionalism but also their personal brand.

“This isn‘t simply about using formal language; it’s more about the way a candidate presents their capabilities and achievements. Relating past experiences to the job's requirements helps connect their history with the future role,” Ferruggia notes.

Ferruggia says that the “personal” touch can be, as mentioned above, a company project example or even a professional value that you and the company both share. This will help set your application apart.

“It leaves an impression that the candidate is both proficient in their field and has done their homework, fitting seamlessly into the organization's culture and vision,” Ferruggia says.

  • Rhyme search. Look for words that rhyme with your words while you write in the app.
  • Save your work. You can save your writing and have a look at it later.
  • Simple look. The app is very simple, which makes it easy to use.

The Brainstormer

In a nutshell: An idea and story generator for people who love a challenge.

Price: Free with in-app purchases. The app with the classic Brainstormer is free. You can buy additional content (Character builder, Creature builder, World builder, etc.) for a small fee each.

EU AI Act: first regulation on artificial intelligence

The use of artificial intelligence in the EU will be regulated by the AI Act, the world’s first comprehensive AI law. Find out how it will protect you.

As part of its digital strategy , the EU wants to regulate artificial intelligence (AI) to ensure better conditions for the development and use of this innovative technology. AI can create many benefits , such as better healthcare; safer and cleaner transport; more efficient manufacturing; and cheaper and more sustainable energy.

In April 2021, the European Commission proposed the first EU regulatory framework for AI. It says that AI systems that can be used in different applications are analysed and classified according to the risk they pose to users. The different risk levels will mean more or less regulation. Once approved, these will be the world’s first rules on AI.

What Parliament wants in AI legislation

Parliament’s priority is to make sure that AI systems used in the EU are safe, transparent, traceable, non-discriminatory and environmentally friendly. AI systems should be overseen by people, rather than by automation, to prevent harmful outcomes.

Parliament also wants to establish a technology-neutral, uniform definition for AI that could be applied to future AI systems.

AI Act: different rules for different risk levels

The new rules establish obligations for providers and users depending on the level of risk from artificial intelligence. While many AI systems pose minimal risk, they need to be assessed.

Unacceptable risk

Unacceptable risk AI systems are systems considered a threat to people and will be banned. They include:

  • Cognitive behavioural manipulation of people or specific vulnerable groups: for example voice-activated toys that encourage dangerous behaviour in children
  • Social scoring: classifying people based on behaviour, socio-economic status or personal characteristics
  • Biometric identification and categorisation of people
  • Real-time and remote biometric identification systems, such as facial recognition

Some exceptions may be allowed for law enforcement purposes. “Real-time” remote biometric identification systems will be allowed in a limited number of serious cases, while “post” remote biometric identification systems, where identification occurs after a significant delay, will be allowed to prosecute serious crimes and only after court approval.

AI systems that negatively affect safety or fundamental rights will be considered high risk and will be divided into two categories:

1) AI systems that are used in products falling under the EU’s product safety legislation . This includes toys, aviation, cars, medical devices and lifts.

2) AI systems falling into specific areas that will have to be registered in an EU database:

  • Management and operation of critical infrastructure
  • Education and vocational training
  • Employment, worker management and access to self-employment
  • Access to and enjoyment of essential private services and public services and benefits
  • Law enforcement
  • Migration, asylum and border control management
  • Assistance in legal interpretation and application of the law.

All high-risk AI systems will be assessed before being put on the market and also throughout their lifecycle.

General purpose and generative AI

Generative AI, like ChatGPT, would have to comply with transparency requirements:

  • Disclosing that the content was generated by AI
  • Designing the model to prevent it from generating illegal content
  • Publishing summaries of copyrighted data used for training

High-impact general-purpose AI models that might pose systemic risk, such as the more advanced AI model GPT-4, would have to undergo thorough evaluations and any serious incidents would have to be reported to the European Commission.

Limited risk

Limited risk AI systems should comply with minimal transparency requirements that would allow users to make informed decisions. After interacting with the applications, the user can then decide whether they want to continue using it. Users should be made aware when they are interacting with AI. This includes AI systems that generate or manipulate image, audio or video content, for example deepfakes.

On December 9 2023, Parliament reached a provisional agreement with the Council on the AI act . The agreed text will now have to be formally adopted by both Parliament and Council to become EU law. Before all MEPs have their say on the agreement, Parliament’s internal market and civil liberties committees will vote on it.
