As anyone who has ever written a paper for a college class knows, there are certain style rules and guidelines to be followed depending on which discipline you are in. Such style rules ensure consistency in formatting and publishing and address details such as comma placement, capitalization, references and in-text citations. One of the most commonly used styles is the APA style, which is the style preferred by the American Psychological Association. APA style is style that is generally used for disciplines such as the social sciences, education and psychology.
Origins of APA Style
For many college students, learning APA style can be tricky. The specifics of the style often trip up even the best writers, since it is difficult to remember whether titles should be in italics or not, how references should be alphabetized and how to cite citations, which can vary depending upon where they appear.
According to the APA, the style originated in 1929, when a group of psychologists, anthropologists, and business managers decided to establish a simple set of procedures, or style rules, to bring uniformity to the elements of scientific writing to increase the ease of reading comprehension.

Avoid Plagiarism at All Costs
In a reference paper, article, blog post or any other published work, writers must give credit to their sources. Failing to do so, even if you have completely reworded the information or summarized the information, is considered to be plagiarism. The second kind of citation is a reference citation and is included with all other full citations at the end of your paper on the last page. They are alphabetical and listed one after the other. They’re the full citations for the in-text citations included in the body of your paper.
BibMe Details APA Style
BibMe is another free online citation generator for APA style. Along with citation guidelines, it spells out ways in which paper elements such as publication dates and titles should be structured. For example, publication dates should place the date that the source was published in parentheses, after the author’s name. If no date is available, you should write n.d. In parentheses, which stands for no date.
Book titles should capitalize just the first letter of the first word in the title. Do the same for the subtitle. The first letter of any proper nouns should be capitalized and italicized. Each should end with a period.

Using Mendeley Cite

Mendeley Cite is a new tool for inserting in-text citations and references list in Word documents.
- You can cite references without having Mendeley Desktop open or even installed
- Download Mendeley Cite from the Mendeley website. The Mendeley Cite will appear in the MS Word References ribbon:

Mendeley Word plugin is used by the old Mendeley desktop version.
Mendeley uses a plugin to format in-text citations and reference lists in MS Word. The functionality of this plugin is limited, but it is simple and easy to use.
- Install the Word plugin first
- Open MS Word, click the References ribbon to find the Mendeley Word plug-in toolbar
Insert in-text citations
You can select citations from your desktop Mendeley and insert them as in-text citations in your Word document.
- On your Word document, click References to find a Mendeley Cite-O-Matic section. Select your preferred referencing style (e.g. APA 7th) from the Style dropdown box
- Place a cursor at the end of a sentence where you want to insert an in-text citation
- Click Insert Citation from the Mendeley Word plug-in bar
- Search for the relevant reference using the search box, or click Go To Mendeley to select a citation from your Mendeley library
- Click OK to insert this citation in your document.
- You can also click the Go To Mendeley button to go to your Mendeley library. Select a reference and click the Cite. The in-text citation should now be inserted into your document.
Edit in-text citations
- If you notice mistakes in your in-text citations or reference list (e.g. spelling mistakes, incorrect capitalisation etc.), the best way to remedy this is to correct the details in your Mendeley library first. Then go back to your Word document and click the Refresh button on the Mendeley Word plug-in bar to update these citations.

- If you would like to remove an author from an in-text citation or add a page number to an in-text citation, click the in-text citation in your document, the Insert Citation button in the Mendeley Word plug-in bar will change to Edit Citation :
- Click Edit Citation, the following box will pop up. Click the citation "Machius 2003"
- You can now edit this citation, e.g. select Suppress author, or add a page number, etc.
Insert a bibliography
Click Insert Bibliography to start building your Reference List . Each time you add a new in-text citation to your document, the reference will be automatically added to your reference list, in the correct order.
Create a plain text document
In-text citations and the bibliography in a Word document are linked with your Mendeley library. However, you can make a plain text document without Mendeley field codes.
- After you complete your writing, click the Reference ribbon on the top of your Word document.
- In the Mendeley Word plug-in bar, click the Export as drop-down menu, select Without Mendeley Fields
- Save this file to your computer. This will create a duplicated document without Mendeley field codes. When you click on the references or in-text citations, you will not see the gray colour background.
- You can edit in-text citations and bibliography using normal Word editing functions.

If you are unable to install the Mendeley plug-in in Word (Mendeley Cite-O-Matic or Mendeley Cite), it is possible to use the built-in citation tool within Word to insert references from your Mendeley Web library.
First export your references from your Mendeley Web Library:
- Open your Mendeley Web Library.
- Select the references you want to export.
- From the options at the bottom of the screen, select Export and then Microsoft Word (*.xml) .
Next import your references into the:Microsoft Word Citation Manager:
- Go to “References” and in the 'Citations and Bibliography' section, click on Manage Sources .
- Click on Browse , navigate to the file you just downloaded and click on OK .
- Your references will appear in the left hand pane. Select the reference(s) you wish to use and click on Copy , so they appear in the right hand pane.
- Click on Close .
Insert references into your document:
- In the 'Citations and Bibliography' section, click on Insert Citation .
- Select your reference from the list.
Problems installing the Mendeley Word add-in?
If you are using Office 2016 downloaded from UCL, you may find that you are unable to install the Mendeley Cite-O-Matic or Mendeley Cite plugins. UCL has a policy which prevents third party Office add-ons. In such an instance you may get the message 'We can't load this add-in because we couldn't connect to the catalog'.
There are some alternative options for working with your Mendeley library in Word:
- Access Mendeley Desktop via Desktop@UCL Anywhere .
- If you have administrator rights on your computer, install Microsoft Office 365 from UCL.
- If you are using a Staff Desktop@UCL computer that is still running Office 2016, contact ISD to request Microsoft Office 365 is installed on your computer.
- Use Microsoft Office 365 online .
- Use Mendeley Web with Word's built-in citation tool .
