In this article, we’ll discuss how to share a PowerPoint, or any presentation, on Zoom. You can do this in a few clicks for more straightforward presentations, but for more complex presentations, you may want some more tools.
How Do You Share a PowerPoint in a Zoom Meeting?
For a presentation where you don’t need to see your notes, sharing a PowerPoint is a quick process.
Open your presentation, and close any windows you won't need. This will limit clutter and distractions.
Log into your Zoom call and when you’re ready to present, click Share Screen at the bottom. Choose your presentation from the menu.
When using a single screen, you should always pick the specific program you want to share. Doing this will protect your data and prevent pop-ups and other interruptions.
Go to the Slide Show tab in PowerPoint and click From Beginning . For the smoothest presentation, do this before anyone else joins the call, where possible.
Use the controls in the lower left-hand corner or keyboard controls to move through your presentation as usual.
Be sure to click on the Presentation window if you’re going to use keyboard controls. PowerPoint won’t acknowledge inputs from the keyboard unless you’ve deliberately clicked on the window.
How Do You Share a PowerPoint With Zoom and Still See Notes?
The best way to see your notes is to use a second monitor and PowerPoint’s Presenter View tools. Then your notes and controls are on one screen, visible only to you, and your presentation is on the other.
Open your PowerPoint and go to Presenter View to see your notes . This mode opens two windows: The presentation and the control panel.
Drag the control panel to your primary screen and the presentation window to your second screen. You’ll be able to see and control your presentation while looking directly into your webcam if you’re using it, and you won’t have to hold your neck at an angle to use the controls.
Log into the Zoom call and click Share Screen at the bottom. Choose your presentation window.
If you’ll need to present other documents or materials in addition to your presentation, have them open and minimized on your screen and share your second monitor instead. Then you can quickly bring those materials up without disrupting your flow.
Tips for a Better Zoom Presentation
If you're not the call organizer, contact them and ask what permissions they've set up and whether you'll need permission to share your screen.
For meetings with multiple people sharing the same presentation, book a call a day before and practice "handing off" control of the slides in Zoom. Alternately, the person sharing their screen should prepare to move to the next slide when cued. Everyone should also have an up-to-date copy of the presentation, so it can continue if somebody drops out of the meeting.
Keeping Murphy's Law in mind, having your notes in one or two other places is a good idea. Consider using your phone and a printed copy to ensure that you can rely on one of the two additional sources for your notes if everything goes wrong.
To record yourself giving a PowerPoint presentation on Zoom, launch Zoom and PowerPoint; be sure to close all other applications. Create a new Zoom meeting, select Share Screen , select your PowerPoint presentation, and click Share . Launch your PowerPoint slideshow. In Zoom, choose Record > Record on This Computer . Your computer is now recording.
Join the Zoom meeting from your iPad using Zoom's mobile app for iOS. Open your PowerPoint presentation and tap Share Content from the meeting controls. You can use PowerPoint's annotation and drawing tools to make notations on your slides if you like.

Aside from the traditional method of sending a PowerPoint presentation to others as an email attachment, you can also upload and share your presentation from the cloud. All you need to get started is a OneDrive account. Here’s how.
You can save a PowerPoint presentation to the cloud fairly easily. In fact, it takes only a few simple clicks. For this to work, though, you’ll need a OneDrive account. If you use Office 365, then you already have one. If not, all you need to do is create a Microsoft account and then sign in to OneDrive. This article will assume you already have a OneDrive account.

First, open the PowerPoint presentation that you’d like to share. At the top-right corner of the window, you’ll see a “Share” button. Go ahead and select it.
Once selected, the “Share” window will appear. You have a few different options here. In the “Attach a copy instead” group, you can choose to send your presentation as a PowerPoint or PDF attachment. Selecting either of these options will open your computer’s default mail client.
What we’re interested in, though, is sharing to OneDrive. To do this, select your OneDrive account under “Share.”
If you haven’t already named your presentation, you’ll be prompted to do so. After you give it a name, click “OK.”
Your presentation will now be uploaded to the cloud and the “Share” pane will appear on the right-hand side. This is where you can invite people to edit (or read) the document. In the address bar, enter the email of the recipient. Alternatively, select the icon to the right of the address bar and select a recipient from your Outlook address book.
After you’ve entered the recipient’s email, you can then assign a permission level. Once you’ve given read/write or read-only permission, you can then add an optional message. When you’re ready, click “Share.”
The recipient will receive an email providing access to the presentation.
Note: If you’re the recipient, be sure to check your spam folder! During our testing, we found the invitation in spam.
An alternative method for inviting people is to get a sharing link. At the bottom of the “Share” pane, select “Get a sharing link.”
Next, choose which type of link you’d like to provide. You can choose between a read/write link or read-only link.
A link will then be generated. Select “Copy” to copy the link to your clipboard.
Anyone you share this link with will then have access to the presentation. This will allow multiple people to collaborate on your presentation in real-time !

How to share PowerPoint presentations on Zoom
A quality PowerPoint presentation can add immeasurably to an online meeting, so it’s essential to know how to share PowerPoint on Zoom . You can even check your notes while your meeting partners see your presentation. The only prerequisite is having permission to share your screen with the meeting. If you scheduled the meeting, then there’s no need to ask. But if it isn’t your meeting, you’ll need to ensure whoever called the meeting allows other participants to share their screens. Then follow the instructions below, and you can share your carefully constructed PowerPoint presentation over Zoom.

Presenting a PowerPoint presentation on Zoom works great with pre-recorded narrations. But what if you want to use your PowerPoint notes as you present live?
There are two situations to consider when you want to use your notes as you proceed through the slides in your presentation. One situation is when you have two monitors (a monitor and a projector), and the other is when you only have one screen.
With two monitors
It’s easy to see your notes when you have two screens to work with. Begin in PowerPoint by clicking Set Up Slide Show.

Set your show type to Presented by a speaker (full screen). Decide whether to advance through the slides manually or by using timings, and click OK. Now go to the Slide Show menu in PowerPoint and click the box that says Use Presenter View. Select the monitor to display the presentation in the drop-down box above it.

Now it’s time to start or join a Zoom meeting. When in the meeting, click Share Screen at the bottom.

From the menu of open windows on your computer that comes up, select the one named PowerPoint Slide Show .

You are now sharing one of your two screens with your Zoom meeting while, through your use of Presenter View, your other screen has your PowerPoint notes on each slide, controls for the presentation, a timer, and a preview of the next slide. It will look like this.

When your slide show has ended, you can use the End Slide Show control at the top of the page to return to your Zoom meeting. As you can see, using two monitors to share a PowerPoint presentation is convenient. But in a one-monitor situation, it can still be done.
With one monitor
To present with only one monitor and still have access to your PowerPoint speaker notes and controls, you will again use Presenter View, but differently. Start by opening Zoom, then continue by setting up your PowerPoint slide show to be full-screen.

Then start your slide show. It will begin in full screen.

In the lower left hand of the full-screen slide show, you will see a three-dot menu. Click the three dots, and a menu will come up. From that menu, select Show Presenter View.

Presenter View will now open in a separate window. Use Alt-Tab on your keyboard to navigate to Zoom, where you can start or join a meeting. When you’re in the meeting, click Share Screen.

From the window that opens, select the PowerPoint Slide Show window, and click the blue Share button.

You will now be sharing the full-screen presentation you started in PowerPoint with your Zoom meeting. Now use Alt-Tab again to navigate to the window whose name contains the words “PowerPoint Presenter View.” Use the sizing icon in the upper right to reduce the window size.

With the window reduced, you can see the full-screen slide show playing behind the Presenter View window while still having access to your notes and presentation controls.

If it’s your meeting, set up the PowerPoint presentation before the meeting’s start time for a more polished presentation so the invitees don’t see you setting up the slide show. If it’s someone else’s meeting, ask for permission to enter before they do, so you will have time to go through the abovementioned procedures.

If you have multiple monitors and want to present your PowerPoint on one monitor while viewing the presenter's notes on another, this one is for you:
- Open the PowerPoint file you want to present.
- Start or join a Zoom meeting.
- Click on "Share Screen" in the meeting controls.

4. Select your primary monitor, then click "Share". If you're not sure which monitor is your primary, select the one that PowerPoint opens in.

Sharing slides as a Virtual Background
While you can share PowerPoint presentations or share Keynote presentations in meetings, you can also share your presentation as a Virtual Background for an immersive sharing experience. Sharing your slides as a Virtual Background allows your participants to view your video imposed directly on the screen share. It also allows you to manage your presentation directly from within the Zoom meeting controls.
Note : Sound, transitions, or animations embedded in slides are not supported.
If the presenter records the meeting locally , the recording will also have the video embedded on top of the slides. If the host or another participant records the meeting locally, they must be on at least 5.2.0 or higher for the video to be embedded on the slides. If they are on any version older than 5.2.0 or record to the cloud , the recording will record the slides and video as a normal screen share recording.

OneDrive is available immediately when you start using PowerPoint, but you may need to add a SharePoint in Microsoft 365 site manually before you can upload or save files to SharePoint in Microsoft 365.
To open the Save as menu, press Alt+F, A. You hear: “Selected, Save As tab item.” In JAWS, you hear: “Save As tab.”
Press A to add a save location. You hear: “Add a Place tab.”
Press Y, 2 to add a SharePoint in Microsoft 365 site.
When prompted, type the email address you use to access your SharePoint in Microsoft 365 site, and then press Enter.
When prompted, type your password, and then press Enter.
The site is now available in the Share and Save As dialog boxes in PowerPoint.
Sign in to your Microsoft account in PowerPoint and upload your presentations to OneDrive or SharePoint in Microsoft 365, so you can share them with others. By uploading your presentations to OneDrive or SharePoint in Microsoft 365, you can also control who edits your file, make sure everyone sees the latest changes straight away, and access your presentations on any of your devices. You can easily upload both older and newer presentations to OneDrive or SharePoint in Microsoft 365.
Upload a presentation to OneDrive or SharePoint
Upload your presentation to OneDrive or SharePoint in Microsoft 365 to share it using the online locations.
You can also use the Save As dialog box to upload your presentation to an online location. For instructions, refer to the section “Save your presentation file” in Use a screen reader to save your presentation in PowerPoint .
In PowerPoint, press Alt+Z, S to open the Share dialog box. You hear "Upload locations," followed by the first location, for example, "OneDrive, Microsoft."
Press the Down arrow key until you hear the name of the location you want, and then press Enter. You hear: "Naming your document, presentation name."
Type a name for your presentation.
Press the Tab key until you hear "OK, button," and then press Enter. You hear: "People to share with, editable combo box."
Do one of the following:
To share the presentation straight away, proceed from step 2 in Share a presentation with OneDrive or Sharepoint .
If you want to continue working on your presentation and share it later, press the SR key+Right arrow key until you hear "Close button," and then press Enter. The Share dialog box closes.
Share a presentation with OneDrive or Sharepoint Online
When you've uploaded your presentation to OneDrive or SharePoint in Microsoft 365, you can send a sharing link to your colleagues or friends directly from PowerPoint. This way you can control who can access and edit your file, and you don't have to worry about the email attachment size limits.
In PowerPoint, press Alt+Z, S to open the Share dialog box. You hear: "People to share with, editable combo box."
Type the email address or name of the person you want to share the presentation with, and then press Enter. Repeat for other contacts you want to share the presentation with.
To add an optional message, press the Tab key. You hear: "Add a message." Type a message to the recipients.
To define who the sharing link works for, press Shift+Tab until you hear the current option, for example, "Only people in your organization with the link can view and edit." Then press Enter. You hear: "Link settings page." Press the Up or Down arrow key until you hear the access group option you want.
By default, the people you share the presentation with can edit it. If you want them to be able to only view the presentation, press the Tab key until you hear "Other settings, checked, Allow editing, checkbox," and then press Spacebar.
To save the access settings and exit the Link Settings page, press the Tab key until you hear "Apply button," and then press Enter. You hear: "Send link."
To share your presentation, press the Tab key until you hear “Share button,” and then press Enter.

Share a link to your presentation
You can create a link straight from PowerPoint to your presentation in OneDrive or SharePoint in Microsoft 365 and send it via email or instant message instead of sending a copy of your presentation.
Press the Tab key until you hear "Copy link, button" and then press Enter. You hear: "Link created page."
Press the Tab key until you hear "Copy button," and then press Enter. The link has been copied.
To close the dialog box, press the SR key+Right arrow key until you hear "Close button," and then press Enter.

With PowerPoint, you can easily email a copy of your presentation to share with others. You can send the copy in the original presentation format or as a PDF. PowerPoint converts your presentation to a PDF automatically, and attaches your file to an Outlook email.

In PowerPoint, press Alt+Z, S to open the Share dialog box.
Press the Tab key until you hear “Send a copy,” and then press Enter.
Press the Down arrow key until you hear the file format option you want, and then press Enter.
A new Outlook email opens with a copy of the presentation attached. The focus is in the To field. Type the recipient email address or name. To write a message, press the Tab key until you hear "Message," and then type your text.
To send the email, press Alt+S.
PowerPoint co-authoring lets multiple people collaborate and work together on presentations. Co-authoring starts automatically when multiple people open the same presentation saved in OneDrive or SharePoint in Microsoft 365.
Your co-authors can follow the link you sent, and your presentation opens in their version of PowerPoint or on PowerPoint for the web. If they’re also using PowerPoint for the web or PowerPoint desktop version and have agreed to automatically share changes, your screen reader says "There are other users editing this slide" if there are co-authors on the slide when you navigate to it.
You need to have an active Microsoft 365 subscription and the latest version of Microsoft 365 installed to co-author a presentation.

Save and share a presentation with OneDrive
Email a copy of your presentation.
Sign in to your Microsoft account in PowerPoint and save your presentations to OneDrive, so you can share them with others. For instructions on how to sign in, refer to the section “Sign in to your Microsoft account” in Basic tasks to create a presentation in PowerPoint with a screen reader .
By saving your presentations to OneDrive, you can also control who edits your file, make sure everyone sees the latest changes straight away, and access your presentations on any of your devices. You can easily save both older and newer presentations to OneDrive.
After a presentation is saved to OneDrive, you are ready to share it with others.
Save a presentation to OneDrive
In PowerPoint, to save the presentation, press Shift+Command+S. The Save As dialog opens with the focus on the file name test field. You hear: “Save as.”
Optionally, type a new file name.
To choose a OneDrive location, press the Tab key. The focus moves to the list of possible storing locations. Press Control+Option+Up, Down, Right, or Left arrow keys to navigate the locations, and Control+Option+Spacebar to select.
If you want to save in a OneDrive folder, press the Tab key until your hear: "You are currently on a folder."
To select a folder on OneDrive, press Control+Option+Up or Down arrows key. The folder names are announced as you move.
If you want to create a new folder, press the Tab key to navigate to New folder . Then press Spacebar to select. The New Folder dialog opens. Type the folder name, and press Return.
To save, press Return. The presentation is saved to OneDrive with the .pptx file extension.
Share a presentation on OneDrive
In PowerPoint, to share a presentation, press F6 until you hear the current tab on the ribbon.
Press the Tab key until you hear "Share menu button" and then press Spacebar. You hear: "People to share with, combobox."
Type the email address of the person you want to invite, and then press Return. If you already have the person's contact info stored, you can just enter a name. Repeat this for other contacts you want to share the file with.
To add an optional message, press the Tab key. You hear: "Add a message, optional." Type a message to the recipients.
To control who can access your file, and if they can edit it, press the Tab key until you hear the current option, such as “Only the people you specify will have access to edit,” and then press Spacebar. Press the Up or Down arrow key until you hear the access group option you want.
By default, the people invited can edit your presentation. If you want them to be able to only view the presentation, press the Tab key until you hear "Allow editing, checked, checkbox, and then press Spacebar to disable the editing option. You hear: “Unchecked, Allow editing, checkbox.”
To save the access settings and exit the Link Settings page, press the Tab key until you hear "Apply button," and then press Return. You hear: "People to share with, combo box."
To share your presentation, press the Tab key until you hear “Share button,” and then press Return.
Press the Tab key until you hear "Send button," and then press Spacebar.
Press the Tab key until you hear "Share menu button" and then press Control+Option+Spacebar. You hear: "People to share with, combobox."
Press the Tab key until you hear "Attach a copy instead, collapsed, popup button" and then press Spacebar.
Press the Up or Down arrow key to select whether to send the file in a presentation format or as a PDF. To select, press Spacebar.
The Mail app opens with the presentation attached in either .pptx or PDF format. The focus is on the To field.
Type the email addresses of people to whom you want to send the copy of the presentation.
Press the Tab key until you hear "Subject column" and then type a subject for the email.
To send the email, press Shift+Tab until you hear "Send button" and then press Spacebar.
Instead of emailing a copy of your presentation, you can send a sharing link. This way others can see the latest changes in the presentation, without you having worry about email attachment size limits.

To choose a save location, keep swiping right past "Places" until you hear the name of your OneDrive account, for example, "OneDrive - Personal," and then double-tap the screen.

Swipe right until you hear: "Include message (optional)." If you want to do so, double-tap the screen, and type a message to the recipient.
Swipe left until you hear "Send, button," and then double-tap the screen.
The recipient receives an email with the shared presentation information. You are returned to the Share menu.

Sometimes you want to share a presentation with people who don’t have PowerPoint, and at the same time, you want to keep the content and formatting intact. In order to do that, you can use PowerPoint to save your presentations as PDF directly to OneDrive.
Swipe right until you hear "File, button," and then double-tap the screen. You hear: "File, heading."

In the Editing view, swipe left until you hear "Not checked, Back switch," and then double-tap the screen. The focus moves to the Thumbnail view.

Tip: After you have saved the presentation to OneDrive, all changes will be saved there when you select Save , unless you save the presentation to a new location.
You can share a presentation while working on it. Your collaborator receives the sharing link in an email, and they can use it to open the presentation in PowerPoint.

Use PowerPoint for the web with your keyboard and a screen reader to share and work together with a friend or colleague on a presentation online. When you share your files using OneDrive, you can invite people to view or edit the presentation, so you can work together at the same time. We have tested it with Narrator in Microsoft Edge and JAWS and NVDA in Chrome, but it might work with other screen readers and web browsers as long as they follow common accessibility standards and techniques.
If you use Narrator with the Windows 10 Fall Creators Update, you have to turn off scan mode in order to edit documents, spreadsheets, or presentations with Microsoft 365 for the web. For more information, refer to Turn off virtual or browse mode in screen readers in Windows 10 Fall Creators Update .
When you use PowerPoint for the web, we recommend that you use Microsoft Edge as your web browser. Because PowerPoint for the web runs in your web browser, the keyboard shortcuts are different from those in the desktop program. For example, you’ll use Ctrl+F6 instead of F6 for jumping in and out of the commands. Also, common shortcuts like F1 (Help) and Ctrl+O (Open) apply to the web browser – not PowerPoint for the web.
Download and share a presentation as a PDF
You can share a presentation while working on it. Your collaborator receives the sharing link in email.
Press Alt+Windows logo key. You hear the currently selected tab on the ribbon.
Press the Tab key until you hear: "Share button." The Share dialog box opens.
To assign permissions, press the Tab key until you hear the currently selected permission option, for example, "Only people who already have access can use this link." Then press Spacebar. You hear: "Link settings page." Use the Down and Up arrow keys to select the option you want.

Instead of emailing a copy of your presentation, you can share a link to your presentation. This way you will always see the most up-to-date version, including your collaborator's updates.

Windows 10: Click Start > Settings > System > Display. At the top, under Customize your display, is a diagram of the screens connected to your computer, with each screen numbered. If you are connected to a project, typically it will be represented in the diagram as screen 2. Select screen 1 in the diagram, then scroll downward.
Windows macOS Select Share. If your presentation isn't already stored on OneDrive, select where to save your presentation to the cloud. Choose a permission level, like Anyone with a link, or maybe just people in your company. You can also control if people can edit or just view the doc. Select Apply. Enter names and a message. Select Send.
When you display your slides full screen in Slide Show mode you can actually switch to Presenter View and share the hidden Slide Show window in the Zoom meeting. This way your attendees see high-res slides while you see your notes and have all the expert features of Presenter View.
There are three methods you can use to screen share a PowerPoint presentation in a Zoom meeting. If you have dual monitors, you can share a slide show while viewing the presenter's notes on another monitor.
To share your screen in a meeting, select Share content in your meeting controls. Then, choose to present your entire screen, a window, a PowerPoint file, or a whiteboard. In Teams on the web, you'll see the following when you select Share content :
To screen share your PowerPoint presentation, go ahead and open the PowerPoint presentation that you would like to present. However, before you put the presentation in Slide Show view, you'll want to share your screen. At the bottom of the Zoom meeting window, click "Share Screen."
Presenter view Present your slides If you're already in a Teams meeting, select Share and then under the PowerPoint Live section, choose the PowerPoint file you're wanting to present. If you don't see the file in the list, select Browse OneDrive or Browse my computer.
Try it! Share your PowerPoint presentation by saving it to the cloud and sending it to others. Select Share. Select where to save your presentation to the cloud. Choose a permission level. Select Apply. Enter names and a message.
Share your presentation Select Share on the ribbon. Enter the names or email addresses of the people you want to share with. Or select the drop-down to change permissions. Allow editing is checked by default. To change permission to view only, uncheck this box and select Apply. Include a message if you'd like and select Send.
To record yourself giving a PowerPoint presentation on Zoom, launch Zoom and PowerPoint; be sure to close all other applications. Create a new Zoom meeting, select Share Screen, select your PowerPoint presentation, and click Share. Launch your PowerPoint slideshow. In Zoom, choose Record > Record on This Computer.
Start presenting On the Slide Show tab, in the Start Slide Show group, select From Beginning. Now, if you are working with PowerPoint on a single monitor and you want to display Presenter view, in Slide Show view, on the control bar at the bottom left, select , and then Show Presenter View. Slides / PowerPoint as Virtual Background: Allows you to utilize a slideshow presentation as your virtual background, providing a more immersive presentation. Portion of Screen: Share a portion of your screen represented by a green border. The border can be adjusted as needed during the share by clicking and dragging any side or corner.
Open your PowerPoint presentation. Start or Join a Zoom meeting. Knowing how to use Zoom like an expert makes this step easy. Click on the green Share Screen icon in the bottom toolbar. Under Entire Screen, select your screen, ensure Share system audio is enabled (if you plan to share audio on Zoom ), and click Share.
Option 1 (Save to "cloud" and share): Click on Share. If you're not logged in to Office, you'll get a prompt asking you to login so you can upload your presentation to OneDrive. Once you're logged in, you can then upload your file to OneDrive or SharePoint. You'll then see the Send Link pop-up below:

At the top-right corner of the window, you'll see a "Share" button. Go ahead and select it. Once selected, the "Share" window will appear. You have a few different options here. In the "Attach a copy instead" group, you can choose to send your presentation as a PowerPoint or PDF attachment.

Sharing a presentation as your background. Click the Share Screen button located in your meeting controls. Click Advanced. Click Slides as Virtual Background. Copilot can also step in to make what you have even better. Maybe you have a presentation on parent volunteer opportunities at your child's school, but it could use some images.
